{{bizName}} {{contactName}} {{demoLink}} {{vertical}}
Lead with the demo, not the pitch. Your subject line should tease curiosity — "I built something for [BizName]" outperforms "AI receptionist for your business" every time.
Send Mon–Wed, 8–10 AM local time. Avoid Friday afternoons and weekends. Business owners check email in the morning before the day gets away from them.
Follow up exactly once, 3 days later. One follow-up doubles your reply rate. Two or more kills it. Use Template C for follow-ups.
Use their business name in the demo. "Hi, thanks for calling Smith Pest Control" is worth 10x more than a generic greeting. Personalization is the whole product.
Match the vertical tone. A law firm demo should sound formal. A pizza shop should sound friendly and fast. Use the vertical script defaults — they're tuned for each niche.
Keep the call short. The best demos are 45–60 seconds. If a prospect has to sit through 3 minutes, they won't share it.
Move every lead to a status immediately. "New" means untouched — a lead sitting in New for more than 24h is dead money. Send or disqualify it.
Log every call. Even a voicemail. The activity history is what tells you who's hot vs. who's ghosting you.
Use Follow-Up dates religiously. Set a date on every lead you care about. The "Action Needed" tab surfaces your daily hit list automatically.
Template A (cold outreach): Curiosity-driven, short, personal. Best for first contact with no prior relationship.
Template B (short & punchy): Ultra-brief. Works when you have a warm list or a high-volume send.
Template C (follow-up): Gentle nudge, references the original demo. Send exactly 3 days after Template A with no reply.
Pro tip: Customize the opening line with something specific — a recent Google review, their hours, their area. One personal detail triples open rates.
Target 3–4 star businesses first. They have reviews to protect, budget to spend on solutions, and they know their competition is outpacing them. 5-star businesses are complacent. 1–2 stars are cash-strapped.
Use specific niches. "HVAC" beats "home services." "Personal injury attorney" beats "lawyer." The more specific your niche, the better the demo vertical match.
Add a note immediately while researching — pain point, referral source, or anything from their website. You'll thank yourself on the follow-up call.
Use Customize Script to tweak the demo conversation before generating. Great for businesses with specific services, hours, or a unique selling point to highlight.
Spanish toggle is a major differentiator in markets with large Spanish-speaking populations. Mention it in your email — most competitors don't offer it.
Save for Later if you don't have an email yet. Get the contact info from their website or a call first, then come back and send.
